How to Plan Your Weekend Party by Tuesday
By Katie, Three Sisters Party Co. ·
Quick Answer
By Tuesday, lock in your guest count, walk the yard for power and layout, confirm your rental list, decide pickup or delivery, and write your shopping list. Rentals are customer setup, so block out one to two hours for arranging tables, chairs, and games.
If your party is this weekend, Tuesday is the day that decides how the weekend feels. There is still time to reserve rentals, still time to fix a layout problem, and still time to buy the supplies you forgot. By Saturday morning those options are gone. This is a simple midweek checklist for hosts in Saratoga Springs, Loudonville, Bethlehem, Colonie, and the rest of the Capital Region.
One note before the checklist. Three Sisters Party Co. provides clean, ready to use rental equipment. Most rentals are customer setup and operation unless another arrangement has specifically been confirmed. Customers handle basic cleanup and organize the items for return or pickup, and we complete the deeper cleaning and sanitation between rentals. Pickup is available, and local delivery may be available depending on the event date, address, rental items, order size, and schedule. Plan your Tuesday around the idea that you will be arranging the yard yourself.
1. Lock In Your Guest Count
Everything downstream depends on this number. Count confirmed guests, add a reasonable buffer for the neighbors who stop by, and write the number down. Seating, table count, ice, and food quantities all come from it.
2. Walk the Yard With a Notebook
Go outside and look at the space the way a guest will. Where is the shade at 2:00 PM? Where does the ground slope? Where will cars park? Which door will people use for the bathroom?
Mark three zones: food and seating, activity space, and a quiet spot for older relatives. Then check your outlets. Note which exterior outlets work, which circuit they are on, and how far they are from where you want a concession machine.
3. Confirm the Rental List
This is the Tuesday task with a deadline. Count your tables and chairs, decide on games, and choose whether you want a popcorn, cotton candy, or snow cone machine. Chairs come in sets of 6, and tables are 6 foot banquet tables, so plan in those increments.
If you are short on numbers, our guides on how many people can sit at a 6 foot table and how many backyard games you need are quick reads. If you have not reserved yet, read how far in advance you should book party rentals and get in touch today.
4. Decide Pickup or Delivery
Pickup is available, and local delivery may be available depending on your event date, address, rental items, order size, and schedule. Pickup pricing is available on most rental items and is shown separately for each item or package.
If you are leaning toward pickup, measure your vehicle now rather than Saturday morning. Our guide on will party rentals fit in your car covers what fits in a sedan, an SUV, and a minivan. Either way, timing is set in your rental agreement, so confirm the window while you still have flexibility.
5. Plan Your Setup Time
Since you are arranging the yard, block out the hours. Most hosts need one to two hours for tables, chairs, and games, plus another thirty to forty five minutes for concession machines and food stations. If rentals arrive the day before or the morning of, you have time to place everything without rushing.
Also plan a weather backup. Decide now which parts of the party move to the garage or under a tent if Saturday turns wet. If a tent is in the plan, how many 6 foot tables fit under a 10 by 20 tent will tell you what actually fits.
6. Build the Shopping List
Tuesday is the day to write it, not the day before. Ice, drinks, paper goods, trash bags, and concession supplies all belong on it. Our guides on how much ice you need, how many plates, cups, napkins, and forks you need, and how many trash cans you need will keep you from over buying or coming up short.
7. Handle the Personal Details
If there are speeches, a slideshow, or a photo display, do that work midweek. Charge the speaker, test the projector if you are showing anything, and put the playlist together. These are the tasks that quietly eat a Saturday morning when they get pushed.
8. Write Saturday's Order of Operations
One short list, in order: set the tables, arrange the chairs, place the games, set the concession station, plug in the warming mats, start the coffee, ice the coolers, walk the yard, then stop and change clothes. Having it written down is what keeps party morning calm.
Frequently Asked Questions
Is Tuesday too late to reserve rentals for the weekend?
Not always, but availability tightens fast in graduation season and mid summer. Reach out as soon as you have your date and guest count.
Does delivery include setting up the tables and chairs?
No. Delivery brings the equipment to your address. Arranging the layout is a customer responsibility unless another arrangement has specifically been confirmed.
When should equipment arrive?
Timing depends on your reservation, the date, and the schedule. Many hosts prefer rentals arriving before the event so they have time to arrange everything without rushing.
What cleanup am I responsible for after the party?
Remove leftover food, empty and wipe the machines, collect game pieces, fold the tables and chairs, and organize everything for return or pickup. Deeper cleaning and sanitation happen at our shop.
What if the forecast changes?
Have a covered plan for food and seating, and keep the equipment protected from weather. Deciding this midweek is much easier than deciding it Saturday morning.
